Position Overview:


The Receptionist / Processing Associate's primary function is to oversee and perform the administrative preparation of tax returns, including payroll tax returns, to ready them for distribution to the client and appropriate government authority as well as perform the support functions related to pre-processing and scanning of tax returns, documentation, and other client related data. Performance is evaluated based on internal client service, timeliness, quality and accuracy of work.


Essential Functions:


  1. Inputs computer charges into VPM.
  2. Prints, copies and assembles all returns including but not limited to 1040’s, Tangibles, 1120’s, 1065’s, 990’s, Financial Statements, and quarterly payrolls, including attachments, forms, etc.
  3. Scans work papers as appropriate for the type of return, individual or business.
  4. Gives tax return package to EA to get signed, billed and forwarded to client.
  5. Types, copies and binds financial statements as required.
  6. Scans broker statements and other large projects as required.
  7. Oversees Processing Support Technician(s) including training, the allocation of work, etc.
  8. Monitors work to be processed in XCM and assigns as appropriate.
  9. Prints, saves and distributes organizers to EA’s as well as prepares organizers for mailing.
  10. Assists with projects as needed, including but not limited to data entry, scanning of offsite files, etc.
  11. Relieves receptionist for breaks, lunch and vacations, as needed.


Required Experience and Skills:


  1. Minimum of 2-4 years experience as an Administrative Assistant or Secretary, previous experience in Public Accounting preferred.
  2. Solid computer skills with a good working knowledge of Word/Excel as well as the ability to learn other programs including scanning, Adobe, data base, e-mail, tax, and calendar software.
  3. Effective verbal and written communication skills.
  4. Conducts himself/herself with integrity in a responsible, professional manner and appearance.
  5. Excellent organizational skills and time management skills.
